RCUH Employee/Independent Contractor (EIC) Training Session (JABSOM) – September 14, 2017

This training session will be held to provide Principal Investigators and Project Administrators with a set of guidelines on EIC Determinations. It is the policy of RCUH to properly classify individuals providing services as an “Employee,” “Independent Contractor,” or “Non-Employee.” Misclassification of employees as independent contractors is a serious issue and could result in being held liable for employment taxes (income tax withholdings, Social Security and Medicare, unemployment) for that worker in addition to penalties and interest. Organizations are being scrutinized as never before, as federal and state agencies are ramping up enforcement efforts.

RCUH EEO & Sexual Harassment Prevention Training Sessions (Oahu, Maui, Kauai, Hawai’i Island) – Various Dates

RCUH will be conducting EEO (Equal Employment Opportunity) and Sexual Harassment Prevention Training for Employees and Supervisors.  RCUH EEO & Sexual Harassment Training is mandatory for all new employees and new supervisors.  If you have not attended training within the last two years, you must attend this session.

The purpose of this training is to provide RCUH employees and supervisors with an understanding of the RCUH EEO & Sexual Harassment Policy and the RCUH EEO Complaint/Investigation Process.  This session will provide employees and supervisors with a better understanding of what discrimination/sexual harassment is in the work place, how to prevent discrimination/sexual harassment from happening, and what RCUH’s policy is on discrimination/sexual harassment.  Knowing how to prevent occurrences of sexual harassment and discriminatory behavior is critical in today’s world.

RCUH Advanced Payroll Deadline for Pay Period Ending 8/31/17 is 12:00 noon on THURSDAY, August 31, 2017

The RCUH payroll deadline for the 8/16/17-8/31/17 pay period is 12:00 noon on THURSDAY, August 31, 2017.   The deadline has been moved up one day due to the Labor Day holiday.

IMPORTANT:

  • Online timesheets will be available starting TUESDAY, August 29, 2017.
  • Online timesheets must be submitted no later than 12:00 noon, THURSDAY, August 31, 2017.
  • Be sure to check for verification of your electronic submission (name, date, time and confirmation number) and that the correct number of timesheets were submitted (x of x).
  • Supporting documentation (for Timekeeper Co-certification, Bereavement, Jury Duty, Parent/Teacher Conference, Military Leave) must be submitted to RCUH Payroll by 12:00 noon, THURSDAY, August 31, 2017.
  • RCUH employees will NOT be paid if the online timesheets and supporting documentations are not submitted by the RCUH payroll deadline.
  • Late timesheets will be processed retroactively with the next scheduled payroll processing.

TIAA Individual Retirement Counseling Sessions (Hilo)

ATTENTION:  Regular status employees 50-100% FTE

If you are currently participating in RCUH’s Group Retirement Annuity (GRA) and/or Supplemental Retirement Annuity (SRA) plans administered through TIAA OR if you are interested in enrolling into a TIAA SRA plan, the RCUH Human Resources Department is now coordinating one-hour Individual/Employee Retirement Counseling Sessions with TIAA.  During these meetings, you will be able to discuss your personal financial/retirement goals with a TIAA Financial Consultant, on a free and confidential basis.

A TIAA representative will be able to assist you with planning for your retirement goals, including:

  • Setting realistic goals for key life events and retirement
  • Reviewing your investment mix and strategy
  • Selecting your TIAA options
  • Learning about TIAA retirement income flexibility

For employees unfamiliar with the SRA plan, it is considered a 403(b) tax-deferred annuity plan which allows an employee to make contributions via payroll deduction from his/her pre-tax earnings towards an individual retirement plan (i.e., SRA) through our third party administrator, TIAA.  Enrolling or making changes to your SRA election may be done at any time during the year. For more information about the GRA and SRA plans, please go to our website, www.rcuh.com and review the RCUH Retirement Plans Policy (3.560).

Pay Award/Personnel Action Form (PA/PAF) – GO LIVE from September 26, 2017 through October 10, 2017!

TO:  Principal Investigators, Project Administrators and Fiscal Administrators

NOTE: This announcement is only applicable for Principal Investigators who missed the July 1, 2017 pay adjustments but submitted Annual Performance Evaluations by the September 15, 2017 deadline and will be providing their employees with pay increases/one-time payments effective October 1, 2017.

The online Pay Award/Personnel Action Form (PA/PAF) will be available for use via the Human Resources Portal from September 26, 2017 through October 10, 2017. All Principal Investigators who have submitted their employees’ Performance Evaluations by the September 15, 2017 deadline who would like to provide their employees with pay increases or a one-time payment effective October 1, 2017 must initiate and approve the online PA/PAF no later than October 10, 2017 (no exceptions).

As a reminder, this is only applicable to RCUH regular-status employees (regardless of FTE).

To access the online PA/PAF:

  • Login to the Human Resources Portal
  • Click on “Manage Employees” Tab
  • Click on “Annual Pay Awards (PA/PAF)”

The PA/PAF will include a retroactive one-time payment option for the July 1, 2017 through September 30, 2017 period if an increase to the base is provided.

Note: A manual PAF will need to be submitted to RCUH Human Resources via email at [email protected] to process the actions below.  The deadline for the manual PAF is October 9, 2017.

  • If you have submitted a manual PAF and Performance Evaluation to end an employee’s probationary period earlier and would like to provide the employee with a pay increase or one-time payment effective October 1, 2017
  • If you have previously submitted an online PA/PAF for July 1, 2017 for your program and did not provide an award to all eligible employee(s) with pay increases or a one-time payment

2016-2017 Performance Evaluations Due on September 15, 2017 for October 1, 2017 Pay Adjustments/Awards

TO:  All Principal Investigators Who Did Not Turn In Their Employees’ 2016-2017 Performance Evaluations 

The RCUH will provide Principal Investigators with a final chance to turn in all employees’ 2017 Annual Performance Evaluations in order to be eligible for the 2017 pay increases/adjustments. The deadline to turn in the Performance Evaluations is September 15, 2017.

We will open up the Online Pay Award/Personnel Action Form (PA/PAF) on September 26, 2017 via the Human Resources Portal. The PA/PAF will allow for the following options:

  • Pay Increase to Base Salary and/or One-Time Payment effective October 1, 2017
  • Retroactive One-Time Payment for the duration of July 1, 2017 through September 30, 2017 (only if a percent increase to base is provided)

All PA/PAF’s must be initiated and approved via the PA/PAF on the Human Resources Portal no later than October 10, 2017.

Ethics Class on Oahu (Kapolei) for September 2017
