RCUH Timesheets – Day Before Payroll Deadline

Hurricane Madeline could pose possible disruptions to normal operations over the next few days.  Therefore, we urge you to submit the online timesheets for your RCUH employees for the 8/16 – 8/31/16 pay period as soon as possible rather than waiting until tomorrow, Wednesday, August 31st (payroll deadline).

Projects on the Big Island and Maui, we urge you to submit your timesheets today, Tuesday, August 30th.

If you discover that corrections to the submitted online timesheets are necessary, please submit the corrected paper timesheet with a short note of explanation to [email protected] or fax to 956-9423 by 12:00 noon on August 31st.  RCUH Payroll will manually post the corrections for you.  If we are unable to post the corrections in the 8/16 – 8/31/16 pay period for any reason, they will be processed in the following 9/01 – 9/15/16 pay period.

Should you have any questions or need assistance, please feel free to contact us at [email protected].

Thank you,

RCUH Payroll Staff

Approaching Storm Information

Please see below for a notice that UH announced this morning in regards to the storms approaching the islands:

The National Weather Service and State officials are monitoring Hurricane Madeline and Hurricane Lester. The effects of Hurricane Madeline may start impacting Hawaii Island as early as tomorrow (8/30). Lester is still too far away to predict what effects it will have on the state.

Please follow the National Weather Service (http://www.prh.noaa.gov/cphc/), other official agencies and local media for the latest weather news.

Stay informed

UH students, faculty and staff are encouraged to sign up for UH Alert to be informed via text message about emergency situations affecting our 10 campuses http://hawaii.edu/alert.Notifications affecting UH campuses will be posted at http://hawaii.edu/emergency.

Be prepared

Hawaii Emergency Management Agency (http://www.scd.hawaii.gov/) recommends residents and visitors take the following actions to prepare for any possible hurricane or tropical cyclone:

Talk with family members about what you plan to do if a hurricane or tropical storm threatens.

Make an action plan that includes details such as whether or not your family plans to evacuate.

Download the Ready Hawaii app from the iTunes or Google Play store. This app can aid in your emergency planning and will list shelters if they are opened for evacuation.

Walk your property and check for potential flood threats. If time and conditions permit, clear your gutters and other drainage systems.

Identify small outdoor items that could be picked up by high winds.

Make a plan to bring these items indoors if a hurricane/tropical storm watch or warning is issued.

Prepare your pets by checking or purchasing a carrier and other preparedness items. A pet carrier is necessary for your pet’s safety if you plan to evacuate to a pet-friendly shelter.

Don’t forget seven days of food and water for your furry family members.

Set aside an emergency supply of any needed medication and keep a copy of your prescriptions in case you run out of medication after a disaster.

Visitors should download and read the Hawaii Tourism Authority’s Travel Safety Brochure at http://www.travelsmarthawaii.com.

Coming Soon – New RCUH Website Design

We are excited to announce that RCUH will be launching a new website design shortly (early September).  While the functionality of the site remains the same, our website will have an updated look and feel, which we hope you will like. Please see the attached for a snapshot of the home page.

The application of the new design is a work in progress, as we are not able to apply the new design to every aspect of our site at the same time.  For instance, the Policies and Procedures section will retain the current look until we are able to move that application and apply the new design, hopefully within a couple of months.  The HR PeopleSoft screens are also being worked on.  Thank you for your patience as we continue our phased roll-out of the new site design.

For our Financial System users, there will also be a new sign-in screen and subsequent pages will be as shown on the attached.

If you have any questions, please contact Brenda Kanno at [email protected]. Thank you!

Processing Documents through RCUH

Effective September 1, 2016, RCUH will permit the use of scanned or faxed copies of most documents processed through RCUH’s Finance and Human Resources Departments.  Refer to Policy 2.013, Signature and Document Approval Process,1 for limitations on this allowance.

Signatory Sequence Requirements

Effective September 1, 2016, all documents processed through RCUH must be signed by the vendor and/or project authority before RCUH will sign the document.  Refer to Policy 2.013, Signature and Document Approval Process. This applies to all documents, including but not limited to contracts and other vendor terms and conditions.  Having RCUH as the last signatory will ensure that all documents are properly executed.  RCUH understands that certain vendor terms and conditions may require that the vendor be the last signatory; in these situations, exceptions will be made on a case-by-case basis.

Signature Delegation

Effective September 1, 2016, all signing authority delegations must be kept on file by the respective project/fiscal office.  As a reminder, delegatees may sign “for” the delegator, but may not sign the delegator’s actual name.

Questions may be directed to Doug Tonokawa at (808) 988-8320 or [email protected].

Note that the approval/signature authority charts that are currently included in Policy 2.201, Purchase Orders, will be moved to Section 3 of Policy 2.013, Signature and Document Approval Process.
