TO: Principal Investigators and Supervisory Project Staff
SUBJECT: Action Required: 2026 Compliance Update - State and Federal Employment Law Notices and Posters and OSHA 300A
As we dive into the first quarter of 2026, please be advised of requirements to ensure compliance.
State and Federal Employment Law Notices and Posters:
Employers are required to display State and Federal employment law notices and posters in a visible place that is regularly visited by employees (i.e., designated bulletin board, lunchroom, break room, or conference room). These notices and posters inform employees and prospective employees of their rights under State and Federal employment laws and regulations. Physical posting is required by law. Failure to post the required current State and Federal employment law notices can result in fines. All the required posters are altogether in the PDF file and printable to standard 8.5 X 11 paper.
We ask that all projects post the notices/posters at a designated and highly visible place at the project’s work site. For projects that are working in the office (e.g., on campus, State or Federal facilities), please check with the respective Business/Administrative Office as it may be likely the centralized Business/Administrative offices have the posters displayed and are compliant.
RCUH Human Resources will inform projects when updated posters are available to ensure compliance with this requirement. Thank you for your cooperation and understanding.
If you have any questions about posting requirements, please contact RCUH Employment via phone (808-956-7106) or email ([email protected]).
OSHA 300A Mandatory Posting:
In accordance with the Occupational Safety and Health Administration (OSHA) federal recordkeeping requirement 29 CFR 1904, all projects with RCUH employees must physically post their OSHA Form 300A at their project’s primary physical establishment from February 1, 2026 – April 30, 2026. The federal form summarizes all “recordable” work-related injuries/illnesses that occurred in the 2025 calendar year. Recordable injuries/illnesses include those that resulted in medical treatment beyond first aid, loss of consciousness, days away from work, restricted work activity/job transfer, or death. Please refer to the OSHA 300A Posting Requirement announcement for additional information.
All projects with RCUH employees are subject to safety inspections or on-site investigations by OSHA or HIOSH (Hawaii Occupational Safety and Health Division), which may be without advance notice. Failure to comply with the posting requirement may result in citations and penalties. Please see the attached HIOSH Inspection Fact Sheet for important information.
RCUH distributed OSHA Form 300As to Principal Investigators and Supervisory Authorities of applicable Distribution Codes in late January 2026. If you have any questions about this posting requirement, please contact the RCUH Employee Benefits team at [email protected].
