RCUH INFO ONLY – January 26-27: TIAA Individual GRA/SRA Advisory Sessions (Virtual Meetings)

RCUH is now coordinating one-hour Individual/Employee Retirement (GRA/SRA) Plan Advisory Sessions with TIAA via virtual meetings July 12-14. Regardless of your current status – whether you are a long-time employee, just hired, or somewhere in between – it is never too early or too late to consider retirement planning. During these personalized sessions, you will be able to discuss your personal financial/retirement goals with a TIAA Financial Consultant on a free and confidential basis.

Because these sessions are being held during normal business hours, all employees must notify their PIs and supervisors if they would like to attend. We encourage Principal Investigators to allow their employees to attend the TIAA Advisory Sessions, if requested. 

For employees unfamiliar with the SRA (Supplemental Retirement Annuity) plan, please note that unlike the GRA (Group Retirement Annuity) plan, there is no 12-month waiting period and you may enroll or make changes to your election at any time during the year. The SRA plan with TIAA is considered a 403(b) tax-deferred annuity plan which allows an employee to make contributions via payroll deduction from his/her pre-tax earnings over and above the amount being accumulated under the RCUH basic retirement plan (GRA).

RCUH HR IMPORTANT – 2021 Year-End Important Dates

Please note the following 2021 Year-End Important Dates:

  • December 11, 2021 (Saturday – 4:00 PM) to December 12, 2021 (Sunday – 8:00 AM): All RCUH Human Resources online systems will be down – this includes the Human Resource Portal, Employee Self Service (ESS), Careers/Recruiting and New Hire Documents (EHS).   • December 13, 2021 (Monday): Deadline for all retroactive payroll correction and adjustment requests for 2021. Pay period ending 12/15/2021 is the last payroll for the tax year 2021 and the last chance for retroactive payroll adjustments to be processed in the current payroll year. Any adjustments posted after pay period ending 12/15/2021 will be considered 2022 earnings/adjustments and will NOT be included in the employee’s W-2 form for 2021.
  • December 16, 2021 (Thursday) 12:00 NOON:  Payroll deadline for the 12/01 – 15/2021 pay period
  • December 24, 2021 (Friday):  Christmas Holiday
  • December 28, 2021 (Tuesday):  Deadline to consent for electronic W-2 form.  We ask that Projects encourage all of their employees to consent to receive their W-2 electronically through the secure Employee Self-Service site.
  • December 31, 2021 (Friday):  New Year’s Day Holiday
  • January 3, 2022 (Monday) 12:00 NOON:  Payroll deadline for the 12/16 – 31/2021 pay period

RCUH HR IMPORTANT: YEAR-END REMINDER – Update Personal Information and Electronic W-2 Consent by Tuesday, December 28, 2021

TO: ALL RCUH EMPLOYEES

As we near the end of 2021, please be sure to update your personal contact information and submit your consent to receive your W-2 electronically via the Employee Self Service (ESS) Portal by Tuesday, December 28, 2021. 

Updates to your personal information can only be submitted via ESS during the non-blackout dates below:

  • November 4-11, 2021
  • November 19-26, 2021
  • December 4-13, 2021
  • December 21-28, 2021

If you do not consent to an electronic W-2, a hard copy will be mailed to the mailing address on file. Please reference the Memorandum from Nelson Sakamoto, RCUH Director of Human Resources below (RE: IRS From W-2 – Go Electronic: Safer and Faster Access to W-2s).

At this time, we would also encourage employees to review their Form W-4. Please note that any changes made will continue onto the 2022 calendar year. You may use the IRS Tax Withholding Estimator to assist you with determining how to complete your Form W-4.

RCUH HR IMPORTANT – October 14: RCUH Pay Award/Adjustment (PA/PAF) Training – 11am

Attention Principal Investigators and Supervisors: RCUH Pay Award/Adjustment (PA/PAF) Training has been scheduled for the following date via Zoom Webcast:

  • Thursday, October 14: 11:00am – 12:00noon

The goal of this training is to provide guidance to Principal Investigators and Supervisory staff who are new to RCUH pay awards and pay adjustments. A Memorandum containing 2021 RCUH Pay Guidelines was sent to all RCUH Principal Investigators on Friday, October 1st, 2021.

Training Registration:

Registration is required  to attend this training. Training registration is available via the RCUH Training Portal. You should receive a confirmation email with the webcast link upon registration. If you do not have an account and need to request access to the Training Portal, please complete this form.

Key Dates:

  • October 8, 2021: DEADLINE (extended from September 30) – Performance Evaluation Forms due to RCUH Human Resources Department (Email to [email protected])
  • October 25, 2021: Online PA/PAF available via HR Portal
  • November 1, 2021: Effective Date of Pay Adjustments
  • November 8, 2021: Deadline to submit online PA/PAF for November 1st effective date

To: All RCUH Employees

RCUH’s annual Aloha United Way Campaign is coming soon!  Our campaign starts today, October 4th through the month of October with a deadline to submit your pledge by Friday, November 5th.

This year we invite you to participate in one of Hawaii’s largest workplace giving campaigns. Let us join the ranks to help raise money for all of the people in need here in Hawaii. This year, Aloha United Way is focused on “Moving Forward Together”. RCUH invites you to be a part of the cause in any way you can!

How to Contribute:

This year we are proud to announce our new platform for giving, the ePledge.

You should receive an email today from [email protected] to your email address on record through ESS. There will be a link to your own personal and secure ePledge site. Your initial login will prompt you to update your password. Once you reset your password, you will have the ability to donate with the ePledge donation options below. There will also be a list of all of the different partner agencies you may designate your pledge to, organized by island.

Deadline to submit ePledge: Friday, November 5, 2021

  • We are also happy to share that HMSA has extended assistance to their members with a 15% reduction in RCUH October premiums! You may consider paying it forward and donating the savings to your favorite local charity.

In the spirit of giving and saving, let us consider the ways in which we can extend our help to those who are in need by participating in this year’s Aloha United Way Campaign.
